JOB PURPOSE AND SCOPE:
To maintain and manage all important documents of CPE either for a particular project or the whole organization and assure that it is easily accessible and stored.

JOB DIMENSIONS:
To work as a document controller and record keeper. Reports to the Lead Document Controller or his delegate as required.

JOB DUTIES & RESPONSIBILITIES:

Policies and Procedures:

  • Maintains and follows the CPE procedures for Documents & Records Management.
  • Works closely with Lead Document Controller and other team members to ensure correct, updated, and timely dissemination of information and assures that documents are easily accessible and stored.

Document & Records Management:

  • Coordinates all CPE activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.
  • Inputs document data into CPE standard registers and ensures that the information is accurate and up-to-date.
  • Generates various document control reports as required.
  • Makes sure that controlled copies of the latest approved documents and drawings are given to the appropriate staff, subcontractors, and suppliers as applicable.
  • Maintains updated records of all approved documents and drawings and their distribution clearly.
  • Maintains the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
  • Maintains the files and control logs as required by the project.

Reporting:

  • Prepares weekly and monthly reports pertaining to Document & Records Management.
  • Attends regular monthly/weekly progress review meetings.
  • Covers the duties and responsibilities of the Lead Document Controller whenever they are delegated.

WORKING RELATIONSHIPS:

INTERNAL:
Lead Document Controller and other team members, other Departments as required.

EXTERNAL:
Subcontractors, Main Contractors, and Clients as required.

DECISION-MAKING AUTHORITY:

JOB SPECIFICATION

QUALIFICATION:

  • Bachelor or technical degree in administration, office management, or records management / 3-5 yr Degree.
  • Project Document control skills.
  • Minimum 3 years’ overall relevant experience; at least 3 years’ experience desirable in Oil & Gas project environment.
  • In-depth knowledge of Microsoft Office; Document Control Software (Documentum, OpenText, Directum, SharePoint).

MINIMUM WORKING EXPERIENCE:

  • Overall: [3-5] yrs.
  • Oil & Gas (Upstream): [2-3] yrs.
  • Middle East: [1-2] yrs.
  • Similar Position: [2-3] yrs.

OTHER HARD SKILL REQUIREMENT (TECHNICAL AND EDUCATION):

  • Project Document control skills.
  • Minimum 3 years’ overall relevant experience; at least 3 years’ experience desirable in Oil & Gas project environment.
  • In-depth knowledge of Microsoft Office; Document Control Software (Documentum, OpenText, Directum, SharePoint).

SOFT SKILLS (BEHAVIORAL):

  • Excellent communication and oral skills with a proactive attitude.
  • Capable of multitasking numerous projects at once and working within deadlines.
